Welcome to the ClassWise application, provided by YE WISE Learning Solutions Ltd. (“we,” “our,” or “us”). The Classwise application (“App”) is intended for use by licensees of Young Engineers and their instructors (“you,” “your,” or “licensees”) to manage their operations. For the purposes of this document, licensees may also be referred to as business owners. This Privacy Policy outlines how we collect, use, and safeguard personal data within the App. By using the App, you agree to this Privacy Policy.
1. Data We Collect
We collect the following personal data through the App:
• Student Information: Name, attendance records, and related data for class management.
• Caregiver Information: Name, phone number, email address (optional), as provided by licensee.
• User Accounts: Licensee and instructor login credentials and usage activity.
• Lead Information: Parent and child names, contact details, interest status, follow-up history, and lead source.
• Campaign Metadata: UTM parameters associated with the origin of a lead (e.g., utm_source, utm_campaign, utm_program, utm_lang).
2. Purpose of Data Collection
We collect and process personal data for the following purposes:
• To manage student attendance and class records.
• To enable communication between licensee, instructors, and caregivers.
• To support operational and reporting needs for licensees.
• Improve our services and the user experience.
• To track and manage leads, including follow-ups, conversion status, and syncing data between ClassWise and an integrated CRM or internal database.
• To personalize communications based on language, program, and campaign source.
• To allow E-Square Young Engineers Franchising Ltd. to access ClassWise data for insights and tracking purposes. E-Square does not manage or operate the App but is granted visibility by YE WISE Learning Solutions Ltd. for monitoring general usage and performance analytics.
3. Data Sharing
• We do not share personal data with third parties, except for the following: Hosting: Data is stored securely on GDPR-compliant AWS servers.
• CRM Integration: Lead and campaign data may be securely synchronized between ClassWise and our internal CRM or database to ensure data consistency and functionality across platforms
4. Caregiver Consent
Licensees are responsible for:
• Obtaining and documenting caregiver consent before entering data into the App.
• Ensuring that data collection complies with GDPR and other applicable laws.
5. Data Retention
• Personal data is retained for up to 12 years after a student finishes their program or an instructor ceases working for Young Engineers.
• After this period, data will be permanently deleted or anonymized.
6. Caregiver Rights
Caregivers have the following rights under GDPR:
• Access: Request access to their personal data stored in the App.
• Correction: Request corrections to inaccurate data.
• Deletion: Request data deletion by contacting support@youngengineers.org.
• Withdrawal of Consent: Revoke consent for data processing at any time.
Requests can be made by emailing support@youngengineers.org, and we will respond within 30 days.
7. Data Security
We implement the following measures to protect personal data:
• Encryption of all sensitive data, including student names and caregiver contact details, is performed using the AES-256-bit encryption cipher standard. Additionally, SHA256 hashing is applied to ensure data can only be decrypted using our secure keys.
• Two-factor authentication (2FA) for licensees and instructors to enhance account security.
8. Data Breaches
In the event of unauthorized database access, we will:
• Investigate the breach and determine the scope of unauthorized access.
• Notify affected licensees, instructors, and caregivers via email (if contact information is available) within 72 hours of detection.
9. Third-Party Services
The App uses AWS for hosting services, which complies with GDPR requirements. No other third-party services are used for data processing.
10. Children’s Data
• The App processes data for children participating in Young Engineers classes.
• Licensees are responsible for ensuring appropriate caregiver consent is obtained for each child.
11. Licensee Responsibilities
Licensee must:
• Ensure GDPR compliance, including caregiver consent.
• Train instructors on responsible data handling.
• Notify Us of any data-related incidents or requests.
